Vital Record Review Cycle Interval Scheduler

Schedule vital-record review with explicit advance-alert window and overdue exposure; unlike inspection cadence, imminent reviews are separately flagged, not a statutory review rule.

Description

Vital-record reviews recur under an institution's chosen schedule.

Vital-record reviews recur under an institution's chosen schedule. Separating overdue days from advance alerts makes an approaching review visible before it becomes late.1

Schedule vital-record review with explicit advance-alert window and overdue exposure; unlike inspection cadence, imminent reviews are separately flagged, not a statutory review rule.

When to use Vital Record Review Cycle Interval Scheduler

Use this tool to schedule vital-record review with explicit advance-alert window and overdue exposure; unlike inspection cadence, imminent reviews are separately flagged, not a statutory review rule.

Prepare the inventory, measurements or policy dates for the collection and reporting period. Confirm units, record order and any independently established thresholds or permissions.

How to use Vital Record Review Cycle Interval Scheduler and understand its results

  1. Prepare the inventory, measurements or policy dates for the collection and reporting period. Confirm units, record order and any independently established thresholds or permissions.
  2. Enter lastVitalRecordReviewOrdinals, callerReviewIntervalsDays, asOfDayOrdinal, callerAdvanceAlertDays using the field table and calculation rules, then run the tool.
  3. Read vitalReviewOverdueDays, dueOrAdvanceAlertIndices, nextPolicyReviewOrdinals. The explanation below defines the units, signs, ordering and any flags or placeholder values.
  4. If the tool reports an input issue, correct the values and run it again. Apply the stated assumptions when interpreting a successfully returned result.
Input fieldMeaningValue type; see rules belowRequirement
lastVitalRecordReviewOrdinalsLast vital record review ordinalslist of numberRequired
callerReviewIntervalsDaysCaller review intervals dayslist of numberRequired
asOfDayOrdinalAs of day ordinalintegerRequired
callerAdvanceAlertDaysCaller advance alert daysintegerRequired

Pair nonnegative integer last-review ordinals with positive integer review intervals. Supply a nonnegative integer as-of ordinal and advance-alert days; reviews cannot be in the future. The tool returns next review ordinals, overdue days, and zero-based indices whose next review minus as-of is at most the alert window, including already due reviews.

Paired lists must be nonempty and have equal lengths.

next_i = lastReview_i + interval_i; overdue_i = max(0,asOf−next_i)

Units, indexing, boundary conditions and exceptional cases are defined in the calculation rules above.

Limitations and assumptions

All ordinals must use the same origin and day basis. Intervals and alert policy are supplied rather than statutory rules. The result schedules review without assessing record importance or performing the review.

Numeric inputs must be finite. Follow the calculation-specific rules for overflow, underflow and exceptional cases. Numeric lists are limited to 100,000 entries; the rules above may require smaller limits. Missing required fields, extra fields, wrong value types and violations of the calculation rules are input errors.

Alternative or Complementary methods

Use Researcher Registration Expiry Days Remaining Calculator: Audit caller registration lifetime on continuous day ordinals with expiry-day inclusive convention; not authentication, eligibility or an invented repository registration policy. For a complementary task, use Disaster Kit Restock Checklist Completeness Checker: Audit actual usable disaster-kit stock against caller quantities, retaining expired inventory separately; quantities alone do not prove readiness, suitable PPE or safe disaster response.
